Set up QuickBooks sync
Connect QuickBooks Online, map your accounts and send your daily close, invoices and payments to your books.
Accounting Sync sends your shop's numbers to QuickBooks so your bookkeeper doesn't have to type them in. Setup takes about 15 minutes and needs someone with the Manage accounting permission, usually the owner or the Accounting role.
Step 1: Connect QuickBooks
- Go to Accounting in the left menu. The setup wizard opens.
- Click Connect to QuickBooks, sign in to Intuit and choose your company.
Using QuickBooks Desktop, or prefer not to connect? Choose CSV export instead. You'll download each day's journal as a QuickBooks import file (CSV, or IIF for Desktop).
Step 2: Import your chart of accounts
AutoSync reads your accounts from QuickBooks. In CSV mode, it uses a standard auto shop chart of accounts.
Step 3: Map your accounts
Tell AutoSync which QuickBooks account each kind of activity goes to: labor income, parts sales, tire sales, sales tax payable, undeposited funds, accounts receivable, cost of goods sold, and so on. Suggestions are filled in for you based on the account names. Only the fields marked as required are needed right away.
Every day: the Daily Close
At the end of the day, open Accounting → Daily Close. Review the day's sales, payments and deposits. When it balances, approve it and AutoSync posts the journal to QuickBooks.
What else syncs
On the Sync tab you choose what's sent automatically: invoices, payments, vendor bills, bill payments and received purchase orders. Each item runs through checks first. If something can't be sent, for example a missing account mapping, it waits in the sync queue with the reason, and you can fix it and retry.
Tip: Run the Daily Close every day. Small daily posts are much easier to reconcile than a month at once.
