Send an estimate for approval

Text or email the estimate so the customer can approve or decline each job from their phone.

Updated Oct 3, 2026

Instead of calling the customer and waiting on hold, send the estimate. They open a secure link, see every job with its price, and approve or decline each one. Approvals appear on the repair order right away.

Send the estimate

  1. Open the repair order and make sure each job has its labor and parts.
  2. Click Send estimate.
  3. Choose how to send it: Text, Email or Both. Options are greyed out if the customer has no mobile number, has opted out of texts, or has no email on file.
  4. Optionally write a personal message. Leave it blank to use your "Estimate ready" template. The secure approval link is always added for you.
  5. Click Send estimate.

What the customer sees

The customer sees your shop name, their vehicle, each job with its price and any inspection photos you attached. They can approve some jobs and decline others, then sign. You get a notification as soon as they respond, and each job is marked Approved or Declined.

Tip: Declined jobs aren't lost. They are saved on the vehicle's history as declined work, so you can follow up at the next visit.

Changing an estimate after sending

If you add a job or change a price, send the estimate again. The new link replaces the old one, and the previous link stops working, so the customer can't approve an outdated price.

Approval by phone or in person

If the customer approves by phone or at the counter, record the approval on the job yourself. The RO notes who recorded it and when.

Customize the wording

Owners and managers can change the text and email wording under Settings → Templates. Use variables like {{customer.first_name}}, {{vehicle.label}} and {{estimate.total}}.
