Create a repair order

Write up a customer and vehicle, record their concerns and start the estimate.

Updated Oct 3, 2026

A repair order (RO) is the ticket for one visit: the customer, their vehicle, what they're asking for, and every job, part and payment along the way.

Start a new repair order

  1. Click Create New in the left menu.
  2. Find the customer. Search by name, phone number, license plate or fleet number. New customer? Click Add New and fill in their name, phone and email.
  3. Pick the vehicle. Choose one of the customer's vehicles or click Add Vehicle. Type the 17-character VIN and click Decode to fill in year, make, model and engine. You can also look it up by plate.
  4. Enter the mileage coming in.
  5. Record each concern in the customer's words, for example "Grinding noise from the front when braking". Click Add concern for each one.
  6. Add internal notes if needed (keys, loaner, special instructions). Customers never see these.
  7. Click Add Jobs. The repair order opens and saves automatically from here on.

Tip: Leave "Create an estimate job for each concern" checked and every concern becomes a job on the estimate, ready for labor and parts.

Add labor and parts

On the repair order, open a job and add:

  • Labor: a description and hours. Your labor rate fills in automatically.
  • Parts: search your inventory or type the part in. Parts you don't stock can be ordered from a vendor.
  • Canned jobs: one click adds a saved job, like an oil change or front brake job, with its labor and parts.

While the car is in the shop

  • Assign a technician and an advisor so everyone knows who owns the job.
  • Set a promise time so the Job Board can show cars that are running late.
  • Attach photos and documents. Choose which ones the customer can see.

When the work is done and paid, close the ticket. Closing records the payments, locks the ticket and updates the customer's history. See Take a payment with a card reader.
